Most paperwork repeats. The same agreement goes out every week, with a different name, a different date and a few clauses that change.
Flowsign has three tools for that: templates, workflows and dynamic documents. Each one builds on the last.
In a nutshell
- Templates save the documents, roles and fields, so you set them up once.
- Workflows let answers decide which documents go out and who signs.
- Dynamic documents change the wording inside a document for each send.
Templates: set it up once
A template is a reusable package. You upload the documents and place the fields once, and every package sent from it starts that way.
Instead of naming people, a template names roles, such as Employee and Manager. You fill in who plays each role when you send.
- Merge fields fill in names, dates and amounts at send.
- Signing order can be everyone at once, or one role at a time.
- Reminders and expiry are set on the template, so every send follows them.
Editing a template later does not touch packages you have already sent. Templates are on every plan.
Workflows: let the answers decide
A template sends the same documents to the same roles every time. A workflow is for when the package itself changes.
You draw it on a canvas. Ask a question, and each answer takes its own path: include a document, leave one out, or bring in another role.
- The sender answers first, when they send.
- Each role can be asked their own questions before they sign.
- Documents that always go out are set once, at the start.
Take a new starter. Contractor or employee? Company vehicle or not? One workflow covers every combination, and each person only sees the documents that apply to them.
Preview runs the workflow against a set of answers and lists what goes out, so you can check every path before you publish. Workflows are on Business and Enterprise.
Dynamic documents: wording that adapts
Workflows choose between documents. Dynamic documents go one level deeper and change the words inside one.
Upload a Word document and edit it right in Flowsign. The dynamic document editor shows real pages, laid out as they will print, and the text reflows as you type.
- Merge fields in the text. Select a name, date or amount and turn it into a merge field.
- Clauses that show only sometimes. Mark a paragraph, and an answer decides whether it appears.
- Alternative wording. Write two versions of a clause, and an answer picks one.
The sender answers a few questions at send and the document is produced from those answers. One template replaces a folder of near-identical Word files.
Preview shows the finished document for any set of answers before it goes out. Dynamic documents are on Enterprise.
How they fit together
A workflow and a dynamic document both live on a template, so you can use all three at once.
The questions in a dynamic document show up in the workflow builder too. One answer can change the wording, the documents and who signs.
Where to start
- Create a free account and build a template from a document you send often.
- Send from it a few times and note what you change by hand.
- Move those changes into a workflow or a dynamic document when the pattern is clear.
The guides to the template builder, workflows and the dynamic document editor walk through each step. The pricing page shows what each plan includes.
